Your coaching journey is private. That’s why we only share the number of sessions you’ve attended with your employer. Everything else — what you share with your coach, your goals, your challenges — stays between you and Coachello. Coaching is confidential, and we treat it that way.

1. Introduction

We care about your privacy. This policy explains how we collect, use, share, and protect your personal data when you use Coachello — whether through our website, mobile app, or integrations (like Microsoft Teams or Outlook). We’ve kept the language straightforward, but if anything’s unclear, reach out. This policy is written in line with the General Data Protection Regulation (GDPR) and other relevant laws, including the EU Digital Services Act (DSA) and, where applicable, the EU-U.S. Data Privacy Framework (DPF).

2. Who This Applies To

This Privacy Policy applies to:

  • Visitors to our website
  • Users of our coaching platform ("Authorized Users")
  • Coachello’s customers (typically HR teams or employers)

3. What Personal Data We Collect

a. When you visit our website

We collect basic usage data (like your IP address, browser type, and country) and use cookies to improve your experience. You can manage cookie preferences anytime (see our Cookie Policy).

b. When you sign in or use our platform

We collect:

  • Your name, email address, and account ID
  • Language and time zone
  • Data shared via integrations (e.g. Microsoft Teams or Outlook)
  • Activity within the platform (e.g. booking sessions, completing assessments, using chat-based coaching)

c. From coaching interactions

We process:

  • Pre-session assessments
  • Coaching notes or insights, if shared by you or your coach
  • Post-session reflections or follow-ups

This data is used only to deliver and improve the coaching experience. What you share with your coach stays confidential — neither Coachello nor your employer will access these details without your explicit permission.

4. Why We Use Your Data (and the Legal Grounds)

We never sell your data. And unless required by law or consented by you, we don’t share your identifiable data with third parties.

5. Who We Share Your Data With

We work with trusted providers (like cloud hosting and email services) under strict data processing agreements. For example:

  • Your coach receives basic context (e.g., your name, company, and coaching goals).
  • Your employer may see aggregate or anonymized reports, and the number of sessions attended — but nothing identifiable or session-specific.

6. International Transfers

Our servers are hosted in Paris, France. However, we may work with service providers outside the EU. When we transfer data internationally, we ensure appropriate safeguards are in place (e.g. Standard Contractual Clauses or certified DPF compliance in the U.S.).

7. How Long We Keep Your Data

We retain your data only for as long as necessary:

  • Your account data: as long as your account is active
  • Coaching-related data: deleted 30 days after your program ends, unless otherwise agreed
  • On request: deleted within 14 days (just email legal@coachello.io)

We may retain anonymized data longer for analytics and service improvements.

8. Your Rights

You have rights under GDPR, including:

  • Right to access your data
  • Right to correct or update it
  • Right to delete it
  • Right to data portability
  • Right to object or restrict processing

If you’re part of a company-sponsored program, we may need to redirect your request to your employer (as the data controller).

We take your data security seriously. Coachello is ISO/IEC 27001:2013 certified and Microsoft 365 compliant. We implement strong encryption, access controls, and continuous monitoring to protect your data.

We update this policy occasionally. If there are major changes, we’ll let you know via email or in app notification. The latest version is always available on our website.
